The Office of the Registrar provides access to the student information system for employees with a legitimate need for student information. All users must complete the FERPA quiz before a user access request obtains final approval.
Process to Request User Access
NOTE: Employees may not request access for themselves.
- Submit Request for User Access
- A request is submitted on behalf of a user in the Campus Access to Student Information Systems (CASIS)portal.
- The submitter selects that they are the Dean, Director, Department Head, or Supervisor (DDDS) or provides the MyID of the DDDS
- If the DDDS does not submit the user access request, an email is sent to the DDDS, who will approve or deny it.
- Relevant Requirements are Checked
- All users must complete the FERPA quiz before a user access request obtains final approval.
- Users may be required to complete additional trainings based on the requested access.
- Access Setup
- Once all necessary approvals have been submitted, the request is sent to the provisioning unit to set up access.
- Once access has been provisioned, the user and the submitter will be notified by email.
The average turnaround time for CASIS requests is one to three business days. If a user is moving departments, the user access request should be submitted after the move has occurred.
Maintaining Access
The Registrar’s Office requires annual certification of FERPA compliance. Each year, users of student information systems are notified that they need to complete the FERPA certification to maintain access.
If users do not complete the FERPA certification by the specified deadline, all access to the student information systems will be revoked. To regain access, the FERPA certification must be completed, and a new user access request must be submitted.
