Dean’s Certification

Some employers, law schools and study abroad programs require applicants to submit a form that is called a Dean’s Certification that provides information on academic as well as disciplinary issues students may have encountered as undergraduates. If a school requires a Dean’s Certification, please take or mail your form to: Office of the Registrar, University of Georgia, 105 Holmes/Hunter Academic Building, Athens, GA 30602.

Once the form has been completed by the Office of the Registrar (degree and enrollment verification/academic standing), the Office Student Conduct (disciplinary issues), the Office of the Vice President for Instruction (academic integrity issues), and the Equal Opportunity Office (discrimination and harassment issues), it will be returned to the Office of the Registrar for final processing and mailing. The entire process can take several weeks.

Enrollment and Degree Certification

Enrollment and/or degree certification is the process by which a student’s enrollment and/or degree status at the University of Georgia is certified to third parties. You may need to provide this certification to be included on your parents’ health insurance (please note:  Effective January 1, 2011, dependents who are younger than 26 may be added or maintained on their parents' health insurance policies regardless of whether or not they are full-time students; therefore, enrollment certifications will no longer be needed to be on parents' health insurance), or car insurance policy, when applying for a loan or credit card, for scholarship application or continuance, when called for jury duty, or when applying for a job.

Please note:  requests cannot be made over the phone and letters of certifications cannot be emailed.

All requests are processed within three (3) business days of receipt of the request.

 

Guidelines for Students

The University of Georgia contracts with the National Student Clearinghouse to serve as our agent and Authorized Certifying School Official for providing enrollment and degree certification for loan deferral purposes, credit card companies, and credit approval agencies.There is no charge to the student for this service. 

 UGA students may also request an enrollment certification:

  • Through OASIS.
    • Log on to http://oasisweb.uga.edu
    • Click on Student Records Main Menu, then click on Transcript/Letter of Certification.
    • Complete and submit the form.
  • Sending a written request to the Office of the Registrar via either the USPS or fax.
    • You may send a letter that includes your name, date of birth, your local address, which of the items below you want included in the certification, and where you want it sent. Please be sure to sign the request.  We are unable to process your request without your signature.
    • Mail your request to:

    • Fax your request to 706.583.8162.
  • Visiting the Office of the Registrar with your photo ID.

Please note: requests cannot be made over the phone and letters of certification cannot be emailed.

You may request that any or all of the following information be included in the certification:

  • Enrollment status for current term (full or part-time) Please see below for determination of full and part-time status.
  • Current academic standing (good standing, probation, etc.)
  • Current school, degree, and major
  • Current classification (freshman, sophomore, etc.)
  • Anticipated graduation term*
  • Complete enrollment history at UGA
  • Degree(s) awarded at UGA
  • GPA for last term of UGA attendance
  • Cumulative GPA for UGA courses
  • Overall GPA (includes course grades from other institutions)
  • Overall hours earned (includes hours from other institutions)

*Anticipated graduation term is based on what is in the student system on the student's record.  If any changes to your anticipated graduation term need to be made, they should be done via OASIS or if it is the current term, you will need to contact your advisor to make this change.

Requests are processed within three (3) business days of receipt of the request.  Requests submitted in person to the Office of Registrar can be printed while you wait if you want to take the certification with you.  Requests, made in person, for certifications to be faxed cannot be guaranteed to be faxed while you wait, but will be faxed after 4:00 pm on the same day.

If you request the letter of certification via OASIS, you may also check the status of that request online.  Log on to OASIS and go to the Student Records Main Menu.  Click on "Request Transcript/Letter of Certification."  Click on "Check the Status of a Letter of Certification."  If the status is marked as "voided" or is not listed on the status screen, the letter of certification was not successfully requested.  Please resubmit your request.

Guidelines for Parents

Parents may submit a written request via mail or fax for an enrollment certification for their son or daughter without the signature of the student, for any of the following information:

  • Enrollment status for current term (full or part time)
  • Current school, degree, and major
  • Anticipated graduation term
  • Complete enrollment history at UGA
  • Degree(s) awarded at UGA

You may request that the certification be mailed to you or to a third party. Students may also indicate that you will pick up the certification in person in the Office of the Registrar (be sure to bring a photo ID).

Please note:  if your student has placed a Restriction on their student record, we will not be able to provide enrollment certification without a signed release from the student.  The student should be encouraged to submit the request via OASIS.

Guidelines for Third Parties

The National Student Clearinghouse acts on behalf of the University of Georgia to provide degree verification data to such agencies as third-party verifiers, credit card companies and credit approval agencies. Please note: Audit courses are not used to determine enrollment status. Independent Study courses (IDL) are counted only in the semester in which you registered for the course.
